A Practical Compression Routine Before You Send Any File

Choose PDF, image, or video compression by the recipient's file limit, then verify readability, duration, and the actual download size.

Start with the destination limit

Read the upload limit before changing the file. A limit per attachment differs from a limit for the entire message. Keep the original and compare the actual downloaded file size with the destination's stated requirement.

Choose the operation that changes the right thing

Use PDF compression for a document, image compression for a photo, and video compression for a clip. If a photo is much wider than it will be displayed, resize it first. If only a short video section is needed, trim the duration before compressing.

Inspect the result you will send

For PDFs, inspect small print, stamps, and page count. For images, check text and edges at the intended display size. For video, play moving scenes and listen to speech. Compression cannot promise an exact target size or unchanged quality for every source.
